Time Saving Tips for Meeting Professionals

If there is anything we crave more of in the event industry…it’s time. It’s amazing how often we find ourselves wishing for just a few more hours and minutes to get the last details completed.

Essential time management yields increased success and productivity by eliminating distractions, getting enough sleep, and making use of the best tools.  You can maximize your productivity and get more done in the few hours you have available by taking the initiative and driving new habits into your day.

Here’s a few quick tips you can easily integrate today!

Outsource: Take a moment and determine what you personally need to stay involved with and and what could potentially be done by someone else. Interns and junior associates can be great partners and you could be giving them an invaluable education.  Look for areas where your time can make the most impact on the program or the budget.  Focus energy on those activities only.

Incorporate technology: There are new technologies popping up all the time that can help you filter and process information. From Evernote to Google Reader, there is an app or program that will help you make the best use of your time. Most are focused on making information and lists more easily accessible.

Stay organized: Take the time to lay out your tools and systems early on in the project. Binders, standardized forms and templates are all examples of specific tools and systems that will save you time as you manage multiple projects.

Get rid of distractions: Things you may not be thinking of can be distractions. Whether it is gadgets or even checking emails every 5 minutes, this can all distract you. By getting rid of distractions or controlling them, you will have more time on your hands.

Tie up loose ends at the end of the day: Return all important phone calls and email by the end of the day.  By getting things done at the end of the day, you’ll sleep more soundly at night and the morning rush will go more smoothly.

Set five realistic tasks for the day: Take care of things you absolutely must do. Maybe return a phone call or review a BEO. Once you’ve accomplished those things, you can say, “I’m ahead.”

Do you have any other tips you use regularly?
